I hope you are all well.

We have recently built a CRM system that will change how advisers will work now and in the future. We are looking to find out from advisers what system they currently use, and what they wished it would include, as we want our system to work for the adviser, as we appreciate it's not a one-size fits all.

I have just had my own system built for me.

A few things I wanted:

Simplicity - I can enter a client and mortgage in 15 minutes. I looked at loads of systems. This is one job we have to do but earns us no money, it should be quick. 

On the back of entering a clients name/email address/fee - I can generate our terms/fee agreement at the click of a button and send it out and they can sign up to the portal. 

Click of a button generates a fully finished suitability letter. 

Run reports for the FCA returns - admittedly I do not have this boxed off yet, its a little complex but I have some of it done. Its on my list of jobs. 

Click of a button generates an invoice. 

I have a dashboard where I have my pipeline, I can filter my cases by stage and adviser. I can see how much I wrote and completed month by month and it tells me which cases are coming up for renewal in the next 6 months.  I did this to get rid of my spreadsheet. 

Thats it. 

Nothing fancy, just do the basics, do it well and simple. I hate doing admin so I want to spend as little time as possible doing it. 

 

Looking at your website I dont know how good/bad your system is. All I would say is the pricing would put me off a little but I can be a bit tight. 

- Why are you limiting client numbers? 250 clients could be 125 mortgages which maybe 2 years worth of clients. I have been putting our clients from the last 3 years on the system (not finished yet) and I am at 350. So your basic plan is not really of much use to anyone I dont think. 

- Your next plan is £199, thats a bit pricey. Its double the lowest plan, thats a big old jump. Which then doubles again to the next one but that comes with 5 licenses. I think most brokerages have less than 5 people. 

IF I was still looking, your pricing would put me off getting in touch personally.

We do have a good number of firms already on our system already, which is going really well. Our system goes above and beyond your typical platform. We have built in AI assistants to set tasks, respond to emails, chase clients. We also have the FCA reports built into the system, so you can easily do your reports. Email and calendar integration, that is linked to clients.

We have an essentials plan at £39 per month, which is ideal for people just starting out. £89 per month for someone with 250 clients and £199 for unlimited clients. The £89 plan does not include the introducer portal, AI tools or compliance. The idea is the individual grows with the system. Instead of charging someone £99 per month, which most systems do for the minimum, we start lower and the system grows as they do.

If you have further feedback, I genuinely would love to hear it.

I built my own and I'm not techy at all. I wouldn't buy a ready built system, find them awful to be honest. 

It's impossible to build a system that works for everybody, because we all work so differently and want different things. 

A reconfigurable system can be just as difficult to amend as building a new one. 

One thing most of the ready made systems can not deal with is changes. Client changes property, lender decline so placed elsewhere, purchase price changes etc. I find they are all built for a perfect world by tech savvy people that have no clue about the daily job. 

I agree about the tech savvy. Most systems are built by people who have never worked in the industry and that will never work.

Our system has been built with a different background, which I do believe is why our system works better. If you do have any feedback about the systems you have used, please let me know.
